How to Communicate Safely with Tenants

Squarelly's platform chat is designed to keep communication direct, organised, and safe for both parties. Here's how to make the most of it — and what to watch out for.

How Platform Chat Works

When a renter initiates contact and the 2% fee has been processed, a direct chat is unlocked between you and that renter. All conversation takes place within the Squarelly platform, giving both parties a clear, organised record of communications.

Best Practices for Safe Communication

Keep conversations on-platform We strongly recommend keeping all communications within the Squarelly chat for as long as possible. On-platform messages are documented and can be referenced if any dispute arises.

Be clear and professional Respond to enquiries promptly and keep your messages factual and professional. Clear communication from the start sets the tone for a positive tenancy.

Be aware of payment scams Squarelly does not process, handle, or facilitate rent payments, deposits, or any other financial transactions related to the tenancy itself. All such arrangements are made directly between landlord and tenant, outside the platform. If anyone — claiming to be Squarelly or otherwise — instructs a renter to transfer a deposit or holding fee through an unfamiliar link or third-party service, treat it as a red flag and report it immediately.

Protect personal information Avoid sharing unnecessary personal details — such as your home address or financial information — before a tenancy agreement is being actively progressed.

Reporting Abuse

If a renter's behaviour raises concerns — including suspected identity misuse, aggressive communication, or any other form of misconduct — you can report it directly from the chat using the Report option, or by contacting our support team via our support form.

Similarly, renters are able to report landlords or property managers found to be acting outside their registered role — for example, operating as a real estate agent. All reports are reviewed by the Squarelly team, and accounts found in violation of platform rules are subject to suspension or removal.

Reminder: Squarelly does not monitor private chat content, but does take reported abuse seriously. Both parties are bound by Squarelly's platform terms of use.
